Is it on the shelf? Check store stock availability on WhatsApp.

Customers can check store stock availability on WhatsApp before they drive over, and Cloodot answers from data you can vouch for: live Shopify stock, ERPNext warehouse stock, or a per-branch list you keep current. When only someone at the branch can look at the shelf, the AI agent routes the question there.

A wrong “yes” costs more than a slow answer

“Is the 65-inch OLED at your Al Barsha store?” is a buying question. The customer has picked the model and wants to know whether the trip is worth it. Answer yes when the last unit went at noon and you lose the sale and the customer’s trust in your WhatsApp number in one drive.

Most electronics retailers hold stock in more than one place: a warehouse, a few branches, display units that cannot be sold. The billing system knows; the person replying on WhatsApp usually does not, so they call the branch, wait, and reply forty minutes later. By then the customer has asked somewhere else.

The fix is not a bot that sounds confident. It is one that answers from stock data when you have it, and asks the branch when you don’t.

How to check store stock availability on WhatsApp with Cloodot

  1. There are three honest sources, and each answers a slightly different question. The Shopify skill set’s Check Stock & Options asks your store, live, whether a product and each variant is available for sale, with an exact count only when your storefront exposes one. That is your sellable online stock, not a count per branch.

  2. The ERPNext skill set’s Check Stock counts what is on hand minus what is reserved for other orders, across the warehouses you list in its settings. Customers hear in stock, running low (five or fewer) or out of stock, plus whether the quantity they asked for can be supplied; exact numbers appear only if you switch that on. Because the warehouse list is a single setting, it answers “do we have it” for those warehouses together, not branch by branch.

  3. For per-branch answers without a live feed, keep one collection per branch and switch an item’s AI search off the moment it sells out. When a question needs eyes on the shelf, the agent hands over: with a team per branch and a clear team description, the handover lands in that branch’s team inbox, and whoever checks the stockroom replies in the same thread.

What Cloodot does here

  • Shopify skill set

Check Stock & Options reads live availability, price and options for the exact product and variant, and Add to Cart & Checkout turns a yes into a checkout link.

    Explore Skills & workflows
  • ERPNext skill set

Check Stock reports in stock, running low or out of stock across your chosen warehouses, and whether a requested quantity can be supplied, without revealing counts unless you allow it.

  • Collections with an AI search switch

One list per branch and a switch per item. A hidden item stays in the collection but the agent stops offering it, which is the quickest way to stop saying yes to a sold-out unit.

  • AI handover to teams

When the data has no answer or a customer wants a unit held, the agent hands the chat to the team whose description fits, such as the Edappally branch team.

  • Labels

Auto-apply a label like “Stock check · Edappally” so managers can see which branches get asked most, and which models people keep asking about.

Where stock answers stop

  • Cloodot does not read POS or billing software directly. Live per-branch counts need a system Cloodot can query, which today means Shopify (store-wide availability), ERPNext (your chosen warehouses combined) or a custom skill set your developer builds against your own stock API.
  • A per-branch collection is only as current as its last update, so updating it has to be someone’s named job. Holding a unit is a promise only staff can make; the agent passes hold requests to the branch rather than confirming them. And stock moves: even a live check means “available now”, not “kept for you”.

Setting it up, source by source

6 steps

  1. Decide what answers stock

Shopify, ERPNext or a maintained branch list. Two sources for the same product means two different answers, so pick one per product line.

  2. Install the skill set

From Intelligence → Skill Sets, install Shopify or ERPNext. For ERPNext, list only the warehouses you sell from, leaving out returns and display stock.

  3. Or build branch collections

Create one collection per branch, import items from a CSV, and agree who switches AI search off when the last unit sells.

  4. Set up branch teams

Under Settings → Organization → Teams, create a team per branch with its team inbox on and a description of what it handles.

  5. Write the stock rules

In Instructions, tell the agent to ask which branch first, never promise a hold, and hand over when the data has no answer.

  6. Test, then deploy

In the playground, ask about a sold-out item, a low-stock item and one you don’t carry before going live.

Who this suits

Electronics and appliance chains with two or more branches, and single stores with a separate warehouse, where customers routinely ask before visiting. It suits teams that already keep stock in Shopify or ERPNext, and teams willing to keep a simple branch list current if they don’t.

It also suits stores where branch staff spend the day on the floor. The agent answers what the data can answer and sends only the remaining questions to the branch, with the model and the customer’s intent already in the thread.

Questions teams ask

Can customers check stock at a specific branch on WhatsApp?

Yes, when your data is per branch. A collection per branch, kept current, lets the agent answer for that branch directly. Shopify and ERPNext checks answer for the stock they can see, store-wide for Shopify and your chosen warehouses combined for ERPNext, so for a shelf check at one branch the agent routes the question to that branch’s team.

Will the bot tell customers exact quantities?

Only if you want it to. The ERPNext Check Stock skill says in stock, running low or out of stock by default, and gives the number only when you turn on exact quantities. With Shopify, an exact count appears only when your storefront shares it. Many stores prefer “running low” to “2 left”, which tends to start a race.

Can the bot reserve a product for a customer?

Not on its own. A hold is a promise someone at the branch has to keep, so the agent collects the model, branch and pickup time and hands the conversation to that branch’s team. If you sell on Shopify, it can send a checkout link instead, so the customer can pay and secure the unit online.

Does Cloodot connect to my POS?

No. Cloodot reads stock from Shopify, from ERPNext or from collections you maintain. If your stock lives only in a POS, the realistic options are a regular CSV export into a branch collection, or a custom skill set built against an API your POS vendor provides.

What does a stock enquiry cost on WhatsApp?

If the customer starts the chat, your replies within the 24-hour customer service window are free service messages under Meta’s pricing. A back-in-stock alert sent days later needs an approved template, which Meta charges per message and bills directly, and you need the customer’s consent to send it.
