Appliance installation booking on WhatsApp, without the phone tag.
Cloodot handles appliance installation booking on WhatsApp by collecting what the installer needs in one form: product, address, site details, photos and a preferred day and time window. Your coordinator confirms the slot in the same chat, and WhatsApp templates carry the confirmation and the reminder. Booking straight into a calendar is not available yet.

Can the AC be installed this Sunday?
1.5 ton split AC · Kakkanad

- Site
- 3rd floor, outdoor unit on the balcony
- Extras
- Stand and extra copper pipe likely
- Status
- Waiting for installer confirmation
Why installation slots slip
A split AC sold on Friday needs a Sunday install, and the installer needs more than the address: which floor, where the outdoor unit goes, whether there’s a stand, how far the pipe runs. A wall-mounted TV needs the wall type and whether the bracket came in the box. A washing machine needs an inlet tap and a drain nearby.
Collecting that by phone takes three calls, and the installer still turns up without a stand. When the brand sends its own technician, the customer also has to understand who is coming and why the visit was registered with someone else. Each round of phone tag pushes the job back a day.
How appliance installation booking works on WhatsApp
The core is a WhatsApp Flow built for installation: product type, model and order or invoice number; area and full address; floor and lift access; questions specific to the product, such as indoor and outdoor unit placement for an AC or wall mount versus stand for a TV; and a preferred day and time window from options you set. Customers send photos of the wall or space in the chat. The agent sends the form when someone asks about installation, or you send it in a template after delivery.
The submission starts a workflow on the WhatsApp Flow Submitted trigger. It sends an acknowledgement saying the request is in and when it will be confirmed, labels it by product, such as “Install · AC”, and assigns it to your installation coordinator. The coordinator agrees the slot with the installer and replies in the same thread.
Charges and process questions come from the knowledge base and your documents: what standard installation includes, what a stand or extra pipe costs, and which brands send their own technicians. For those brands, the agent explains the process and your team registers the request with the brand.

The agent knows when your team works, so a request at 10 p.m. hears when it will be confirmed instead of waiting in silence.
What still needs a person
- Cloodot does not book into an installer’s calendar today. Calendar integrations such as Cal.com and Google Calendar are listed as coming soon, so the slot a customer picks in the form is a preference until your coordinator confirms it. There is no installer dispatch or route planning.
- A workflow’s Delay step waits a fixed time, so an automatic reminder the day before the visit only works when visits are booked a fixed number of days out. Otherwise the coordinator sends the reminder template from the conversation. Brand-installed products still have to be registered with the brand by your team.
Who this is for
Electronics and appliance retailers in India and the Gulf who coordinate installation for ACs, TVs, washing machines, water purifiers and kitchen chimneys, whether with in-house installers, contracted teams or brand technicians.
It suits stores where one coordinator or a small team schedules installers, and where that coordinator would rather read a complete request than collect it one call at a time.
Questions teams ask
Can customers pick an installation slot on WhatsApp?
They can choose a preferred day and time window from options in the form. That is a request, not a booking: Cloodot doesn’t check an installer’s calendar yet, so your coordinator confirms it or offers another slot in the same chat. A clear confirmation beats a slot that quietly moves later.
Can the installation form go out automatically after delivery?
Yes, if Shopify tells Cloodot about the delivery. A workflow on the Order Delivered trigger can send a utility template whose Flow button opens the installation form. For deliveries Shopify doesn’t track, send the template from the inbox, or from a webhook your dispatch system calls.
How do customers get a reminder before the visit?
The coordinator sends an approved reminder template from the conversation, or a workflow does it automatically when visits always fall a fixed number of days after the request. Reminders sent outside the 24-hour window must be templates, which Meta charges per message and bills directly.
What if the brand does the installation?
Put each brand’s process in the knowledge base. The agent explains who will come and what the customer should have ready, collects the details in the same form, and your team registers the request with the brand. Cloodot does not connect to brand service portals.
Can the bot quote extra installation charges?
Yes, from your rate card. Put standard inclusions and extras such as stands, extra copper pipe or wall brackets in the knowledge base or a document, and the agent quotes from there. Anything the rate card doesn’t cover, like an unusual site, goes to the coordinator.
