Car service booking on WhatsApp, with the job card details up front

Car service booking on WhatsApp works when the advisor gets the registration number, kilometres, service type and complaint in one message instead of ten. Cloodot's AI agent answers the questions, a form inside WhatsApp collects the booking, pick-up requests go to the driver team, and your service advisor confirms the slot.

Workshop bookings arrive in fragments

Service advisors start the day with a phone that has already been buzzing for an hour. "Can I bring the car tomorrow?" "How much is the 40,000 km service?" "The AC is making a noise, can you check?" Each message is the start of a short interview: which car, which registration number, how many kilometres, periodic service or a running repair, drop-off or pick-up, and which day.

Rahul Nair just wants his car serviced before a family trip. He sends a voice note, a photo of the dashboard warning light and a question about the cost, then waits. The advisor is at the reception desk with three walk-ins and replies at lunch, by which point Rahul has called another workshop.

Pick-up requests are worse. They need the driver team, an address and a time, and they tend to get lost between the advisor's WhatsApp and the driver coordinator's phone.

How car service booking on WhatsApp works with Cloodot

  1. The AI agent answers first, from your workshop's own information: service schedules by kilometres, the labour charges you choose to publish, what the warranty or an extended warranty covers, workshop hours and directions. Photos and voice notes are read and answered like any other message, so Rahul's warning-light photo gets a sensible first answer and a suggestion to book an inspection.

  2. When he wants to book, the agent sends a service booking Flow, a form that opens inside WhatsApp: registration number, model, kilometre range, service type, a box for complaints, pick-up yes or no, and a preferred date and time window. A workflow on the WhatsApp Flow Submitted trigger then branches on the answers. Pick-up requested? Add a Pick-up label and assign the driver coordinator. Drop-off? Send the drop-off instructions and the workshop location in the chat.

  3. Either way, the booking lands with your service advisor, who checks it against the workshop schedule and confirms or offers another slot in the same thread. The vehicle's registration number can be saved to the contact, so the next booking already knows the car. When the car is ready, the advisor tells the customer in the same conversation; if more than 24 hours have passed since the customer last wrote, that message has to be an approved template.

What Cloodot does here

  • WhatsApp Flows

A booking form with registration, kilometres, service type, complaint, pick-up and date, built by describing it, previewed and registered with WhatsApp.

  • Branching on the answers

The WhatsApp Flow Submitted trigger with a Decision on the pick-up answer sends pick-ups to the driver team and drop-offs their instructions.

  • Photos and voice notes

The agent reads a photo of a warning light or listens to a voice note describing a noise, and replies in the customer's language.

  • Contact custom fields

Registration number and model stay on the customer's record between visits, so the agent and the advisor know which car they are talking about.

Where this stops: no DMS connection

  • Cloodot does not connect to your dealer management system. It does not read bay capacity, open a job card or post the booking into the DMS, so the form offers the dates and time windows you design and the service advisor confirms the real slot. Calendar connections are not part of this setup either.
  • If your DMS or workshop software has an API, a workflow can send each submitted booking to it with an API request step, but that is a connection your team or your software vendor sets up and maintains. Likewise, a "car ready" message sent automatically needs your system to call a Cloodot webhook; without that, the advisor sends it from the inbox.

Set up service bookings

5 steps

  1. Publish what the workshop can answer

Add service intervals, the labour charges you are happy to share, warranty coverage, workshop hours and pick-up areas to the Knowledge Base.

  2. Build the service Flow

In WhatsApp Flows, describe the form: registration number, model, kilometre range, service type, complaint, pick-up and preferred time. Register it, attach it to an approved template, and give the agent a workflow skill that sends it.

  3. Branch on pick-up

Create a WhatsApp Flow Submitted workflow with a Decision on the pick-up answer: label and assign the driver coordinator, or send drop-off instructions.

  4. Hand every booking to an advisor

Turn on a Service team inbox with a clear description, or assign the duty advisor in the workflow, so each booking has an owner.

  5. Keep the car on the record

Add Registration number and Model as contact custom fields with AI Extraction on, so returning customers are recognised.

Questions teams ask

Can customers book a car service on WhatsApp without calling?

Yes. They message your workshop number, the AI agent answers their questions, and a form inside WhatsApp collects the registration number, kilometres, service type, complaint and preferred time. Your service advisor then confirms the slot in the same chat, so the only call left is the one the customer actually wants.

Does Cloodot check our workshop's real availability?

No. Cloodot does not connect to dealer management systems or bay schedules. The form offers the time windows you set, and the advisor confirms against your own schedule. If you have software with an API, a workflow can pass bookings to it, but your team builds and owns that connection.

Can it handle pick-up and drop requests?

Yes. Add a pick-up question to the form and branch on it in a workflow: pick-up requests get a label and go to your driver coordinator, while drop-off customers receive directions straight away. The address and time window are in the submitted form.

Can it quote a service estimate?

Only from what you publish. If you add standard periodic service charges by model to the Knowledge Base, the agent can quote them as estimates. For repairs it should say the advisor will confirm after inspection, and you can make that a handover rule.

What languages does the service agent speak?

It understands messages in any language and replies in the ones you choose, including English, Malayalam, Hindi, Arabic and Urdu. Voice notes and photos are understood too, which helps customers who would rather say what is wrong than type it.
